Xero Integration

Agent Manager can push invoices straight into Xero. Connecting Xero and configuring how those invoices behave are two separate steps.

1. Connect Xero

Go to Settings → Integrations & Plugins → All Plugins and open the Xero card (under "Accounting"). You can either:

  • Use the shared app — the fastest option, using Agent Manager's own registered Xero app
  • Use your own app — enter your own Xero Client ID/Secret if your organisation needs its own OAuth app

Either way, click Connect, complete the Xero sign-in in the popup window, and the connection is saved. From the same card you can Test Connection, Re-connect, or Disconnect at any time.

2. Configure Invoice Settings

Once connected, go to Settings → Financial Settings → Xero to set defaults:

FieldPurpose
Default invoice statusThe status new Xero invoices are created with — see below
Payment accountThe Xero bank account payments are posted to. Required if you want invoices to actually post as Paid
Default line item accountThe (non-bank) Xero account invoice line items are coded to
warning

If Payment account is left blank, invoices created with status "Paid" are created as Authorised in Xero instead — no payment is posted. Set a payment account here before relying on the Paid status.

If Xero isn't connected yet, this settings page shows an alert and links you back to Plugins instead of the form.

Invoice Status Options

When creating an invoice with Xero sync turned on, you choose (or accept the org default for) a status:

StatusMeaning
PaidCreates the invoice as Authorised, then posts a payment against it — requires a payment account to be set
AuthorisedApproved, awaiting payment
SubmittedAwaiting approval
DraftEditable, not yet in the books

This choice appears on the invoice/payment form itself (a Create Xero Invoice toggle, defaulting to your org's configured status) and can be overridden per invoice — including which payment account to use, if different from the default.
